About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is central to ensuring smooth operations across the organization, providing direct support to the Management team and Board of Directors. The ideal candidate is proactive, professional, and adaptable in a dynamic work environment.

Key Responsibilities

  • Prepare, key in, edit, and proofread correspondence and reports as required.
  • Open and distribute incoming regular and electronic mail; coordinate the flow of information internally and externally with departments and partner organizations.
  • Schedule, coordinate, and confirm appointments, meetings, and events for management.
  • Order and manage office supplies and maintain inventory.
  • Answer telephone and electronic inquiries; relay calls and messages promptly.
  • Set up and maintain both manual and computerized filing and information systems.
  • Record and prepare minutes of meetings; draft agendas and distribute to the Board prior to monthly meetings.
  • Arrange travel schedules, accommodations, and reservations as required.
  • Compile data, statistics, and other information to support reports and research.
  • Provide support and information gathering for community engagement reports.
  • Actively participate in community events as required.
  • Assist in planning and coordinating conferences, workshops, and special events.
  • Support the accounting department with accounts payable and receivable as needed.
  • Provide direct administrative support to the management team.
  • Maintain confidentiality with sensitive information and exercise sound judgment in decision-making.
  • Perform other administrative and organizational duties as required.

Qualifications

  • Post-secondary education in Business Administration, Office Administration, or a related field preferred.
  • Minimum 2 years of experience in an administrative or executive assistant role.
  • Proficiency in Canva, Sage, MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills.
  • Excellent organizational skills with attention to detail.
  • Ability to prioritize tasks, meet deadlines, and adapt to shifting priorities.
  • Professional, courteous, and able to maintain confidentiality at all times.
  • Minimum 2 years of experience in an administrative or executive assistant role, preferably within indigenous communities.
  • Understanding of indigenous values and culture.

Preference will be given to Cheam First Nation members and Indigenous applicants.
